How to use this free invoice generator

Start with the seller and customer details in the form above. Use the name your customer recognizes from your agreement, and add addresses or business identifiers when the customer needs them. The English editor uses US dollars. If your transaction belongs to a supported country with different document rules, choose that country’s tool instead of changing currency symbols in a note.

Give the document a number that fits your own records, then set the issue date and any agreed due date. Add one line for each service, product or agreed stage of work. Describe what the customer is paying for in terms they can match to the quote or order. Enter quantities and unit prices, check the discount, and compare the preview with your agreement before exporting.

Download PDF saves the document without registration. Print opens the PDF in a new tab, where your browser provides its print controls. Share uses the device’s file-sharing options when supported, and otherwise downloads the file. Review the downloaded document before sending it, especially after adding a logo, handwritten signature or long notes.

What a PDF invoice should include

A useful invoice identifies the seller, the customer and the transaction. Include a document number, issue date, clear line descriptions, quantities, unit prices and the amount requested. A due date and payment reference help the customer pay the right document. Add payment instructions only after checking them yourself. This generator does not check a bank account or confirm that money has arrived.

Specific legal requirements vary by jurisdiction, business type and transaction. This general English template does not calculate sales tax, VAT or withholding. A required tax breakdown cannot be supplied simply by writing a tax identifier in the seller field. If your invoice needs a prescribed tax format, additional calculations or electronic reporting, use a tool that supports those requirements before issuing the final document.

Separate invoice details from receipt details. An invoice requests payment; a receipt records an amount actually received. Sending a PDF invoice does not prove payment. If you use the account-based invoice-to-receipt conversion, check the received amount, payment date and payment method rather than assuming the customer paid the full balance.

Check quantities, prices and discounts with a worked example

For a fictional design project, enter three hours at $80.00 on the first line and one agreed asset fee of $60.00 on the second. The subtotal is $300.00. A $25.00 discount gives a total due of $275.00. Use this kind of small example to check your inputs before replacing them with the amounts in your own agreement.

The English editor accepts decimal points and correctly grouped commas, such as 1,200.50. Quantities can use up to three decimal places. Each line is rounded to cents before the subtotal is calculated. The discount is an amount in dollars, not a percentage: for ten percent off $300.00, enter 30.00 rather than 10. Check that the discount is smaller than the subtotal.

If an amount cannot be parsed, correct the highlighted field. An em dash in a total means the editor cannot calculate a usable amount from the current inputs. It is not a zero balance and should not be treated as confirmation that nothing is owed. Read both the field message and the preview before downloading.

Free invoice generator vs. Word template

A Word template is useful when you need complete control over the page design or your organization already has an approved document. You can edit paragraphs and move elements freely, but you also need to maintain the layout, update calculations and check that the exported PDF matches what you intended. A changed row or long address can move other content unexpectedly.

This online invoice generator keeps the editing controls separate from the PDF layout. Enter line items, quantities and prices and let the editor calculate the subtotal and discount. The preview is generated from the same PDF process as the download. That makes it easier to inspect what your customer will see without maintaining a separate spreadsheet or manually editing calculated amounts.

Choose based on the work you need to do. Use this tool for a straightforward USD invoice with itemized charges, a logo and optional signature. Use your approved Word document or accounting system when you need custom legal wording, tax calculations, multiple currencies or an established business workflow that this editor does not provide. The output here is PDF; Word and Excel downloads are not available.

Write line items your customer can understand

A description such as “services” is difficult to reconcile with a quote. A more useful description identifies the deliverable or billing period: “Website layout review, agreed scope dated 12 October” or “Four consulting hours for the November planning session.” Use only the detail needed to explain the charge. Avoid placing confidential client material or sensitive personal information in a document that may be forwarded.

For fixed-price work, one unit at the agreed project fee may be clearer than inventing hours. For hourly work, use the actual approved hours and the agreed rate. For a staged project, describe the milestone being billed and use notes to reference the agreement. The editor does not track project balances or reconcile previous invoices, so check prior documents yourself before billing another stage.

If the customer needs an order number, place it in the reference field. Keep document numbering and customer references separate so both are easy to find. A readable description and a consistent reference can reduce clarification requests, but they cannot replace agreement on the scope, price and payment terms.

Add your logo, signature and payment notes

Open the notes, logo and signature section when you need branding or extra context. Upload PNG or JPEG images, and check the preview for legibility. Large images are resized for the document. Use a clear logo with enough contrast against white paper; a detailed banner that looks good on a website may be difficult to read at invoice size.

A signature image or drawing can identify the person issuing the document, but uploading an image does not verify anyone’s identity. Confirm any signature or approval requirements with the recipient. Keep payment notes short and actionable: explain an agreed due date, payment reference or where the customer can ask a question. Never add an unverified payment destination copied from an unexpected message.

Long descriptions and notes can create additional PDF pages. Check every page after exporting, not just the first thumbnail. Confirm that totals, notes and images are present and that there is no accidental sample text. A final visual review is especially useful after importing a draft or reusing a document for a different customer.

Save a draft and finish your invoice later

Document details and uploaded images are processed in your browser. A draft may be restored on the same browser and device, but browser storage is not a backup service. Clearing site data, using another browser or losing access to the device can remove that local draft. Export a draft file if you need a copy you control.

Open the export and import section to save a JSON draft. To continue later, choose Import draft, select the file, and review the overwrite confirmation before replacing the form. Draft files contain the document details and may contain uploaded images. Store them with the same care as the invoice itself, and avoid leaving client documents on shared computers.

Before sending the PDF, replace fictional example identities, confirm the issue date, review quantities and prices, and verify the customer’s billing details. Keep the final PDF and any supporting agreement in your own records. This tool helps create a document; it does not maintain your accounting ledger, send payment reminders or determine whether the customer has paid.
