Design invoice template

A design invoice template is a USD payment request for creative work such as a logo, packaging, or a layout. Fill it in the browser and download a PDF. Name each deliverable and any extra revision the client approved. Usage rights stay in the agreement. This editor does not attach source files or add sales tax.

Things you should know

A design invoice bills creative work the client can point at: a wordmark, a packaging face, an illustration, a layout. It is not a timesheet of studio hours, and it is not a general project fee for non-visual work. The person who pays matches the PDF to an estimate. If the line says only “design,” they cannot tell the logo from the label, and they cannot tell included concepts from a new campaign.

Open the design starting point and the first line reads “Design deliverable — replace with project name.” That line is a placeholder. Replace it with the piece and the estimate, for example “Primary wordmark for Northwind Market, estimate E-88 dated 1 October 2026.” The preset does not type the client, the fee, or the number of concepts. Quantity remains 1 and the unit price remains empty until you enter the figures from E-88.

Price the deliverable, not the path you took to get there. Two unused sketches inside an included round are not lines. Estimate E-88 might say “wordmark, two concept directions, one revision round” for $2,200. That is quantity 1 at $2,200.00. A third direction the client approved on 9 October is a new line with that date and the fee you quoted for it. Do not rename internal drafts as extra deliverables after you have already spent the weekend on them.

Usage rights are a contract topic, not a paragraph you paste into a payment PDF. The estimate should say whether the client is buying a logo for their own brand, a limited packaging run, or a wider license. On the invoice, point at that clause: “Rights as in E-88 section 6; this PDF does not expand them.” Do not write “all rights worldwide in perpetuity” on the invoice unless that sentence is already the agreement. An invoice people forward is a bad place to invent a license, and it is a bad place to attach the actual artwork.

Separate studio work from production files when the estimate did. A wordmark fee does not silently include a dieline, a retoucher’s hour at the printer, or a set of app icons. If E-88 priced “print-ready label PDF” as $120, bill $120 on its own line and name the file type. Source files (editable logo files, layered layouts) ship only if the estimate said they ship. This editor has no upload for those files. Notes can say “Packaged source files sent 28 October via the agreed drive.” They cannot carry the files.

Revisions and new concepts are different. A revision changes the chosen direction. A new concept is another direction. If two revisions were included, the invoice does not list them. The third revision, approved in writing, gets a line: “Revision 3 of the chosen wordmark, approved 21 October 2026.” Kill the temptation to bill “design exploration” for work the included rounds already covered. Presentation boards for a meeting the fee included are not a second product.

Stock images, fonts, and print quotes are not your design fee. A font license you bought for the client is a pass-through at cost, with the foundry named, only when the estimate allowed it. A printer’s quote is the printer’s invoice, not a line you mark up unless E-88 allowed a handling fee as its own number. Do not describe unreleased packaging in enough detail that the PDF leaks the product. “12 oz tin label, front panel” is identification. The flavor name and the unreleased slogan can stay off the invoice.

Money fields stay ordinary US dollars. Each line rounds to cents before the subtotal. The discount box is a dollar amount, not a percent and not a deposit. If estimate E-77 already collected a concept-phase payment, this PDF will not subtract it. Bill the phase you are issuing, and cite E-77’s invoice number in the notes. The form will not add sales tax. If you must charge tax, compute it outside the tool and add a line that states the rate. Do not put a Social Security number on the PDF. A W-9 goes to the client as its own form.

What to fill on this Design invoice template

These lines are a fictional identity-and-packaging bill. The prices are illustrations, not a rate card. Swap in the deliverables and the amounts from your estimate before you download.

Use the client legal name from the estimate, not the product’s nickname. If a parent company pays and a brand team approves, the customer field is the payer. The brand can be named inside the line so the approver still recognizes the work. Keep campaign code names out of the PDF when they are still confidential.

  1. Primary wordmark and logomark, two included directions, estimate E-88 dated 1 October 2026

    Quantity 1 · Unit price $2200.00

The identity fee is one unit because E-88 sold it as a package. The two included directions stay inside that fee. They are not quantities.

  2. Color and type specification sheet, one page, listed separately on E-88

    Quantity 1 · Unit price $650.00

The estimate split the spec sheet from the mark. Billing it inside the $2,200 would hide a number the client already approved as its own line.

  3. Front-panel label layout for the 12 oz tin, print size named in E-88, no flavor slogan

    Quantity 1 · Unit price $900.00

Packaging art is a different deliverable from the wordmark. The description identifies the panel without publishing the unreleased product name.

  4. Third concept direction for the wordmark, approved by email 9 October 2026

    Quantity 1 · Unit price $480.00

E-88 included two directions. The third exists only because the client approved the extra fee on that date. Unused internal sketches are not this line.

  5. Print-ready PDF export of the approved label, outlines and bleed as specified by the printer

    Quantity 1 · Unit price $120.00

File preparation is not a new design. Quantity 1 is the export. Editable source files are not included unless the estimate says they are.

The five amounts are 2,200 + 650 + 900 + 480 + 120 = $4,350.00. That subtotal assumes you did not also bill a font license. If the client later asks for a $150 courtesy reduction, type 150.00 in the discount field only after you agree it. Do not type 150 to mean a deposit they already paid, and do not type 10 to mean ten percent. Percent math is yours to do before it becomes a dollar discount.

Give the PDF your next invoice number, not the estimate number. Estimate E-88 can sit in the reference field or at the end of the wordmark line, but the document number might be D-334 dated 30 October 2026. If the terms are due on receipt, enter that due date yourself. “Net 15” is not calculated. Notes can read “Rights limited to E-88 section 6. Source files are not included. Concept invoice D-310 is a separate document and is not deducted here.” Check the preview for a second page before you send the file.

A studio logo on the PDF is optional and is not the client’s new wordmark. Do not upload the unreleased label as the invoice logo. A signature image identifies who issued the bill; it does not notarize the artwork and it does not transfer copyright. PNG or JPEG only, and a wide banner that looks sharp on a website can turn muddy at invoice size. Look at the preview.

How this invoice compares

Design, freelance, and consulting invoices are the same USD PDF with different jobs for the lines. Design lines name visual deliverables, extra directions, and file prep. Freelance lines, on the other guide, name a non-design outcome and its quote. Consulting lines name hours, interviews, or a workshop tied to dates.

Choose design when the estimate is about marks, layouts, illustration, or packaging art. Choose consulting when the client bought advice and time. Choose freelance when they bought a finished project that is not this kind of creative art. The blank generator does not insert “Design deliverable — replace with project name.” Its first description is empty.

Concepts, revisions, and files the PDF should not carry

Studios lose arguments when the invoice and the estimate count rounds differently. Write the line the way the estimate counted. “Two directions included” means the invoice for the base fee does not itemize direction one and direction two. An extra direction needs a date and a price the client saw before you drew it. A revision after the chosen direction needs the same treatment. “Exploration” is not a unit the client can approve. If you present three boards in a meeting that the fee included, the meeting is not a new SKU.

Say what file the client is paying for when file prep is extra. “Print-ready PDF, outlined type, bleed as the printer specified” tells production what arrived. “Final files” does not. Editable sources, font files you are not allowed to redistribute, and layered working documents stay out of the invoice and out of the email unless the license allows the transfer. This tool cannot check a font license. You can.

Color calls and brand names can be specific without being a leak. “Pantone values as listed on the spec sheet” is better than pasting an unreleased campaign headline into the notes. The spec sheet lives in the delivery folder. The invoice lives in an accounts-payable inbox that other vendors and auditors may see. Write for that inbox.

An identity invoice that does not rebill the concept phase

Studio North designs for a fictional grocer. Estimate E-88 covers the wordmark package, a spec sheet, a tin label, and optional extras. In early October the studio issued D-310 for a $700 concept phase and was paid. The 30 October invoice D-334 should not repeat the $700 and should not ask the editor to subtract it. The wordmark line is the balance of that package as E-88 defined it, or the full package if D-310 was a separate mobilization fee the estimate did not credit. The studio picks one of those truths and writes it in the notes. It does not use the discount field to bury D-310.

The third concept direction is on D-334 because the 9 October email approved $480. The print-ready export is on D-334 because the printer asked for outlined type and E-88 priced that export at $120. Social icons are absent because nobody approved them. The subtotal is $4,350.00. Due date is 14 November 2026 under the Net 15 clause, typed by hand. Reference field: E-88. The placeholder “Design deliverable — replace with project name” is gone before download.

If the client then asks for the layered source files, that request is a scope question, not a silent edit to D-334. The studio either points at the clause that already included sources or issues a new line on a new invoice after a price is approved. Replacing D-334 with a different total under the same number leaves two “final” PDFs in the wild.

Frequently asked questions

What belongs on a design invoice for a logo or packaging job?

List each deliverable the estimate priced: the mark, the spec sheet, the package layout, an extra concept, or a print-ready export. Name the estimate. Do not itemize directions or revision rounds the fee already included. Do not attach the artwork. Usage rights stay in the agreement, with a short pointer in the notes.

How do I bill extra design concepts or revisions?

Bill an extra concept or revision only after the client has approved that charge in writing. Put the approval date in the description and use quantity 1 at the agreed fee. Included rounds are not lines. A revision of the chosen direction is not the same line as a brand-new direction.

Should the design invoice include source files or usage rights?

No file is uploaded with this PDF. If the estimate includes editable source files, say in the notes that you sent them by the agreed channel. Do not paste a new license into the invoice. Point to the clause that already states the rights. The invoice does not transfer copyright by itself.

How do I show an earlier concept-phase payment?

This editor does not subtract a previous invoice. Bill the phase you are issuing now, and cite the earlier invoice number in the notes. Do not disguise that payment as a discount. A discount is a dollar price reduction you intend the client to see as a lower fee.

Will a design invoice PDF add sales tax?

No. The form is US dollars only and does not look up a tax rate. If your situation requires tax, calculate it yourself and add one line that shows the rate you used. An EIN in the seller block does not make the PDF a tax invoice.

Is this design template a downloadable Word or Excel file?

No. You fill the design fields in the browser and download a PDF. The preset only inserts a reminder line for the project name. Replace that line before you send the file. Word and Excel downloads are not offered.
