Invoice Template PDF

An invoice template PDF here means you fill a US-dollar invoice in the browser and download a PDF. There is no Word or Excel file. Start from a blank form or a use-case line, check the preview, and save the PDF. Downloading does not require an account, and the file does not calculate sales tax.

Fill a blank invoice

Things you should know

The template is the form. The PDF is the file you send. You do not download a blank PDF and type into it with a desktop editor. You type in the browser, the preview is rendered from the same PDF process as the download, and the result is a document with pages, not a spreadsheet and not a Word file. If you needed an editable .docx because a lawyer must change a clause, this is the wrong tool.

Six use cases only change the first line description. Freelance inserts “Project deliverable — replace with agreed scope.” Consulting inserts “Consulting hours — replace with billing period.” Design inserts “Design deliverable — replace with project name.” Writing, web development, and simple service have their own reminder lines on the starting-point page. None of them fill a client name, a rate, or a due date. The blank generator inserts nothing: the description starts empty, quantity starts at 1, and the unit price starts empty.

Downloading is free and does not ask for an account. A draft may sit in this browser until you clear site data. That draft is not a backup and it is not a template you can email to someone else. If you need a copy you control, export the draft file and store it as carefully as the invoice. Importing a draft replaces the form. The exported PDF is the document the customer should see, after you have read every page.

Arithmetic is limited and visible. Quantity times unit price, each line rounded to cents, then an optional discount in dollars. The discount is not a percent: for ten percent off $300.00 you type 30.00, not 10. An amount the form cannot parse shows an em dash, not a zero. There is no sales-tax lookup, no VAT, and no withholding. A tax identifier typed into the seller name does not create a tax invoice. If you must show tax, add a line you calculated yourself and name the rate.

The PDF does not know your last invoice. Deposits, retainers, and stage payments are not subtracted. Bill the amount this document should collect, and mention the earlier number in the notes. The form does not turn “Net 30” into a due date. You count the days and type the date. It does not check a bank account. Payment notes are text you are responsible for. Do not paste a new account number from an unexpected message.

Logo and signature accept PNG or JPEG, up to the size the form states, and they are resized for the page. A signature image is not identity proof. Long descriptions add pages. Check page two. The English form is US dollars. If the transaction belongs in a country tool with its own currency and wording, use that tool instead of writing a different currency symbol into a note.

Six ways to start

Pick a use case when you want a reminder in the first line. Three of them have a full guide. The other three stay on the starting-point page. The blank editor is always available if you already know the wording.

PDF versus Word and Excel

People search for an invoice template PDF because they want a file they can send, not a layout project. A Word template is a document you keep editing. An Excel template is a grid that can calculate, and can also carry last month’s customer in a hidden row. This site only produces the PDF.

Use the table when you are choosing a container for the same facts: who sold, who pays, the number, the dates, the lines, and the total. The container does not change your duty to match the agreement. It changes who does the arithmetic and what happens when a line gets long.

Fill the PDF online, then download once

Start with seller and customer names the agreement already uses. Add addresses or an EIN only when the customer’s vendor setup needs them. Set an invoice number from your own sequence. Set the issue date to the day you will send the file. Set the due date from the terms you agreed. “Due on receipt” still needs a date you type.

Add a line for each price the customer can recognize. A single line that says “services” is hard to approve. A line that names the deliverable, the week, or the estimate is easier. Quantity and unit price are yours. The preview multiplies them. Compare that preview with the quote before you download. Print and share use the same PDF. Share falls back to a download when the device has no share sheet.

Replace every preset sentence before you send the file. “Replace with agreed scope” is an instruction to you, not a description for the customer. Fictional examples on the guide pages are not sample data loaded into the form. The form does not invent a customer. If you imported a draft from another job, read the customer name again. Importing does not merge; it replaces.

What the downloaded PDF is, and is not

The file is a request for payment in US dollars. It is not a receipt. A receipt records money you have already received. Sending the PDF does not prove the customer paid, and it does not start a reminder schedule. It is not a tax return and not a 1099. Whether a customer must file an information return depends on the year, the amount, and the seller’s entity type. Keep the Social Security number off the PDF and give a W-9 through the channel the customer specified.

The file is also not your archive. Browsers drop local drafts. Download the PDF and keep it with the estimate. If you need to stop and resume, export a draft JSON and treat it as confidential, because it can hold names and images. Clearing the form does not recall a PDF you already emailed.

A corrected total needs a corrected document the customer can tell apart. Do not leave two files with one invoice number and two totals. Agree the replacement with the customer. The tool will not watermark the old PDF as void.

Choosing among the six starting lines

Use the freelance guide when the customer bought a finished outcome that is not a visual identity: a fixed fee, a separate revision, a pass-through cost, a deposit you must not let the form “remember.” Use the consulting guide when the quantity is approved hours, interviews, or a workshop, and a purchase order has to sit in the reference field. Use the design guide when the lines are a wordmark, a package layout, an extra concept, or a print-ready export, and the license stays in the estimate.

Writing, web development, and simple service do not have their own guides in this batch. Their sections on the starting-point page still explain the reminder line. Writing is for an article, a batch, or an edit, with the billing unit the contract used. Web development is for a milestone or approved build hours, and you must track the contract balance yourself. Simple service is for repeated, itemized charges that are not those other shapes. Opening any of them still only presets one description.

If none of the reminders help, open the blank generator. You will write the first line yourself. The math, the PDF download, the logo, and the lack of tax calculation stay the same. Guides are explanations. They are not different invoice engines.

Before you send the file

Read the seller name, the customer name, the number, both dates, every quantity, every unit price, the discount, and the notes. Confirm the discount is smaller than the subtotal and that it is the dollar figure you meant. Confirm you deleted the placeholder line. Confirm a logo is legible on white and that you did not upload the customer’s unreleased artwork as decoration.

Open each page. Totals and notes sometimes move when the description is long. Then send the PDF, not a screenshot of the preview and not the draft JSON. Keep a copy. If the customer’s accounts payable needs a portal upload, the PDF is the file you upload. This site does not log into that portal for you.

Frequently asked questions

Is the invoice template a PDF I edit, or a form that makes a PDF?

It is a form in the browser that downloads a PDF. You do not edit the PDF as a Word document. The preview and the download use the same PDF layout. There is no .docx and no .xlsx.

Can I download a Word or Excel invoice template here?

No. The only download is the PDF. A Word file is useful when you must control the page design yourself. An Excel file is useful when you want your own formulas. This tool keeps the editing form separate from the PDF and does not hand you either office file.

Do I need an account to download the invoice PDF?

No. Filling the form and downloading the PDF do not require registration. A draft may remain in this browser. Export a draft file if you need a copy that is not tied to that browser.

Will the invoice template PDF calculate sales tax?

No. Line totals are quantity times unit price, rounded to cents, minus an optional dollar discount. The form does not add sales tax, VAT, or withholding. Add a tax line yourself only when you have calculated the rate you intend to charge.

Which starting point should I open?

Open freelance for an agreed non-design deliverable, consulting for hours or a session, and design for a logo, layout, or other creative deliverable. Writing, web development, and simple service are sections on the starting-point page. Open the blank generator if you do not want a suggested first line.

Can I reuse one PDF for the next customer?

Do not send the same PDF to the next customer. Create a new invoice number, replace the customer, and replace the lines. You may export a draft to resume the same invoice later. Importing a draft overwrites the form, so review every field before you download again.
