Freelance invoice template

A freelance invoice template is a USD payment request for an agreed deliverable. You fill it in the browser and download a PDF. Name the work, the quote it belongs to, and the amount still due. This page does not calculate sales tax or subtract a deposit from an earlier invoice.

Things you should know

A freelance invoice asks to be paid for a finished piece of work. It is not a timesheet and it is not a software milestone you will bill again next month. The person who approves payment matches your PDF to a quote, a statement of work, or the email that accepted the price. A line that says only “design services” does not give them that match, so the invoice sits in a queue.

Opening the freelance template inserts one line: “Project deliverable — replace with agreed scope.” That sentence is a reminder, not copy you should send. Replace it with the deliverable and the agreement, for example “Brand workshop and homepage wireframes, quote Q-204 dated 2 October 2026.” The template does not fill your client’s name, your rate, or a due date. Quantity stays at 1 and the unit price stays empty until you type the figures from the quote.

Use quantity 1 when the fee is fixed. A logo and a one-page site sold as a $2,400 package is one unit at $2,400.00, not an invented 24 hours at $100. Split lines only when the quote priced them apart: the package, a separately approved revision, and a pass-through such as a font license you bought for the client. Do not hide new scope inside a line the client already accepted.

A deposit is an earlier invoice, and this editor does not remember it. If INV-1041 already collected $800, this PDF will not subtract $800. Bill the amount still due as its own line, such as “Homepage build, balance after INV-1041,” and repeat that invoice number in the notes. The discount field is a dollar amount, not a percent, and a discount is not a deposit. Using the discount to imitate a deposit makes the PDF look like you cut the price.

Revisions need a boundary that lives in the agreement. “Two rounds included” should not be re-billed. On the invoice, charge only a round the client approved beyond that, and name the date: “Revision round 3, approved by email 14 October 2026.” Do not itemize internal drafts the fee already covered, and do not attach source files to the invoice. The PDF is a request for payment. Delivery happens in the channel you agreed, not inside the line description.

Amounts use a decimal point and a thousands comma, such as 1,200.50. Each line is rounded to cents before the subtotal. The editor will not turn “Net 15” into a calendar date. If you issue on 30 October 2026 and the quote says Net 15, you type the due date 14 November 2026 yourself. It will not add sales tax. If this service is taxable where you work, calculate the tax outside the tool and add one line that states the rate you used.

A W-9 is a form you give the client so their records have your taxpayer name and TIN. It is not a line on the invoice, and a Social Security number does not belong on a PDF that may be forwarded. Whether the client must file a 1099-NEC depends on the tax year, how much they paid you, and your entity type. The invoice does not make that filing. Do not label the PDF as a tax invoice.

Kill fees and cancelled projects are their own agreements. If the client stops a project after you completed the workshop but before the site, invoice the portion the contract says is earned, and say so in the description: “Brand workshop only; homepage cancelled 20 October 2026 per section 4 of Q-204.” Do not invoice the full package and hope they notice the note. The note is not a credit.

What to fill on this Freelance invoice template

The examples below use fictional prices so you can see how a freelance PDF is itemized. Replace every name, date, and amount with your own quote before you download. None of these figures are a suggested rate.

Keep the client’s legal name in the customer field, the name they use on the agreement, not a nickname from chat. Put your trading name in the seller field. If they need a business address or an EIN to set you up as a vendor, put that in the seller block, not in a line item.

  1. Brand workshop and homepage wireframes, quote Q-204 dated 2 October 2026

    Quantity 1 · Unit price $1800.00

This is the fixed package. Quantity stays 1 because the quote was not hourly. The description names the quote so accounts payable can attach it.

  2. Font license, Northwind Foundry desktop license, purchased for the client at cost

    Quantity 1 · Unit price $86.00

A pass-through is not part of the design fee. Name the vendor and that you are billing cost. If the quote allowed a handling fee, that is a separate line, not a silent markup inside this one.

  3. Revision round 3, approved by email 14 October 2026, outside the two included rounds

    Quantity 1 · Unit price $250.00

Bill the extra round only after the included rounds are used and the client has agreed the fee. Do not list round 1 or round 2 if the package already paid for them.

  4. Weekend rush, delivery moved to 18 October 2026, fee stated in Q-204

    Quantity 1 · Unit price $400.00

A rush fee belongs on the invoice only when the quote or a later written approval named it. Do not add it after you have already delivered on the original date.

  5. Stock photo licenses, Harbor Stock, three images for the homepage hero and two interior sections

    Quantity 3 · Unit price $15.00

Quantity is the number of licenses, not the number of hours you spent searching. The unit price is the license. The line total is $45.00, and it stays out of the design fee so the client can see the third-party cost.

Those five lines total $2,581.00 before any discount: 1,800 + 86 + 250 + 400 + 45. If you agreed a courtesy reduction of $81 so the client can pay a round $2,500, enter 81.00 in the discount field. The discount is dollars, not “about three percent.” The total due is then $2,500.00. Check the preview, because an amount the editor cannot parse shows an em dash, not a zero.

Give the document your own number, such as INV-1055, from your sequence. Do not reuse the quote number as the invoice number. If the client also has a vendor portal id, put that in the reference field so the two numbers stay distinct. Set the issue date to the day you send the PDF, and set the due date from the terms you actually agreed. “Due on receipt” is a due date you type, not a phrase the editor understands.

Notes are for payment instructions you have checked yourself: the method you agreed, and where they should send questions. Do not paste a new bank account from an unexpected message. Logo and signature are optional PNG or JPEG images. A typed name is not a verified signature. Long notes can add a page; read every page of the download, not only the first thumbnail.

How this invoice compares

The same editor produces the freelance, consulting, and design PDFs. The difference is what the first line is for and how you should split the work. A blank invoice does not insert a suggested line at all.

Use the freelance column when the client bought a finished outcome that is not a visual identity system. If they bought advisory time for a period, the consulting template is the closer fit. If they bought a logo, a brand system, packaging art, or another creative deliverable with revision rounds, use the design template and keep usage rights in the agreement rather than in the line.

What accounts payable looks for on a freelance PDF

A usable freelance invoice identifies you, the client, and the transaction. Include your invoice number, the issue date, a due date, and lines the client can tie to the quote. The amount requested should be the amount still owed for this document, not the original project total with a story in the notes. Payment instructions belong in the notes only after you have confirmed they are still correct.

US clients often match three strings: your name as it appears on the W-9, the quote or PO they approved, and the total. If your PDF uses a different trade name than the vendor record, say so in the seller block rather than hoping the line description explains it. Do not put the client’s unreleased campaign name, private customer data, or a full creative brief in the PDF. A forwarded invoice is a poor place for material that was never meant to leave the project.

Number freelance invoices in one sequence for your business, even when you have several clients. Gaps are easier to explain than two documents that share a number. If you void a draft you never sent, keep the number unused or mark your own records; the editor does not reserve numbers for you. Store the final PDF next to the quote. A browser draft is not that archive. Export a draft file if you must leave the form and come back, and treat that file like the invoice itself, because it can contain the client’s details and your logo.

A filled freelance example, with the deposit left outside the math

Marina Alvarez designs for Northwind Market, a fictional shop. Quote Q-204 accepted a $2,600 brand-and-homepage package. On 3 October she sent INV-1041 for an $800 deposit and was paid. This new invoice, INV-1055 dated 30 October 2026, should not show $2,600 and a hope that someone subtracts $800. The package line on INV-1055 is the $1,800 balance, described as the homepage delivery after INV-1041. The font license, the extra revision, and the stock photos are additional lines the quote allowed. The weekend rush is omitted because she delivered on the original Friday.

She leaves the discount empty. She puts “Quote Q-204” in the reference field and “Deposit INV-1041 received; this invoice is the balance plus the listed extras” in the notes. The due date is 14 November 2026 because Q-204 says Net 15 from the invoice date. She previews two pages, confirms the signature image is legible, and downloads the PDF. Nothing in that download proves Northwind has paid INV-1055. A receipt is a different document, written after the money arrives.

If Northwind later asks for a revised PDF because the font foundry name was wrong, she issues a corrected invoice and agrees with them what happens to INV-1055. The editor will not mark the old file void. Sending a second PDF with the same number and a different total is how a client pays twice or pays the wrong one.

Frequently asked questions

What should a freelance invoice template include?

Include your name, the client’s name, your invoice number, the issue date, a due date, and one line per priced deliverable. Name the quote or agreement. Show quantities, unit prices, and the amount still due on this document. Add payment notes only after you have checked them. This template does not add sales tax or a legally required tax layout.

Do I bill freelance work by the hour or as one project fee?

Follow the quote. If the client bought a fixed deliverable, use quantity 1 and the agreed fee. If they bought time, put the approved hours in the quantity and the agreed rate in the unit price, and say which dates those hours cover. Do not invent hours to make a fixed fee look like a timesheet.

How do I show a deposit on the next freelance invoice?

This editor does not subtract an earlier invoice. Put the unpaid balance in the line amount and write the deposit invoice number in the description or the notes. Do not use the discount field as a deposit. A discount reduces the price; a deposit is money you already invoiced.

Can I list extra revisions on a freelance invoice?

List a revision only when it sits outside the rounds included in the fee and the client approved the extra charge. Name the round and the approval date. Rounds the original fee already covered should not appear as new lines.

Will this freelance invoice PDF calculate sales tax?

No. The English editor uses US dollars and does not look up a sales-tax rate or add tax. If you must charge tax, calculate it yourself and add a line that states the rate you used. Writing an EIN in the seller field does not create a tax invoice.

Is the freelance template a Word or Excel file?

No. You fill the invoice in the browser and download a PDF. The freelance starting point only presets the first line description. Word and Excel downloads are not available. Open the invoice template PDF page if you want that comparison, or the blank generator if you do not want a suggested line.
